Selecting users for Exchange, OneDrive, and Teams chats backup

This article explains how to select which users and groups Keepit backs up for Exchange, OneDrive, and Teams chats, and how to keep new users protected automatically.

Use AD groups

We recommend using Active Directory (AD) groups to add users to your backup. This makes it easier to configure the backup of multiple users at a time and gives you more control over what new users are added to the backup.

If you haven't already, create dedicated groups of users in your Active Directory. You can then select these AD groups in the Keepit configuration when you choose which user accounts to back up.

Note: Dynamic distribution list groups don't appear in the backup configuration because these groups don't have members. Instead, they act as email filters that dynamically determine recipients for each email sent to the group.

Add new users and groups automatically

The backup configuration automatically adds new users and groups to your backup, so your users and data stay protected without extra setup.

Here's how the auto-add options work:

Option What it does
All groups Automatically adds any new groups, and any new users added to those groups, to the backup.
Group type (for example, unified groups) Automatically adds new groups of that type, and their users, to the backup.
Specific group Automatically adds new users who join this group to the backup.
All users Automatically adds all new users created in Active Directory to the backup.
Users not in groups Automatically adds new users created in Active Directory who aren't part of any group to the backup.

Selecting users for Exchange, OneDrive, and Teams chats backup

We recommend you select All groups and include all needed groups and users under this level. If needed, you can then exclude specific groups or users while keeping the auto-add function enabled.

Exclude a user, group type, or group

To exclude specific users or groups while keeping the auto-add function enabled, clear the checkboxes next to their names. Excluded items display a red checkmark to indicate their exclusion from the backup.

Important: Exclusion takes precedence over inclusion. If you exclude a user or a group, but that user is also part of a group that's selected in the configuration, Keepit still excludes the user.

Limit which users are added automatically

If you don't want new users automatically added to your backup, include only specific AD groups in your backup and don't add new users to those groups.

Change your group and user selection

Group selection takes precedence over user selection. When you change the group selection, Keepit resets the user selection.

If you previously excluded users and then select any of the group-level checkboxes, Keepit overrides your original exclusions. Select Cancel to revert to your previous selection.

Sync Exchange, OneDrive, and Teams chats user selection

By default, Keepit syncs user selections for Exchange, OneDrive, and Teams chats. Changes to a group or user selection in one data area apply to all three.

If you want distinct selections for each data area, unlink the user selections.

Important: If you previously chose different groups for Exchange, OneDrive, and Teams chats and then link their selections, Keepit syncs based on the data area where you enable it. For example, if you enable sync in the Exchange configuration, Keepit clears the OneDrive and Teams chats selections and applies the Exchange selection to both — and the reverse is also true.
